Preparing Witness Statements for Cold Storage Events

Witness statements transform a ceremony log from an internal note into a document that third parties — auditors, solicitors, counterparties — can rely upon. The statement itself is a short, signed declaration; its power comes from specificity and independence.

Who Signs

Distinguish three categories: the device holder (who performed the access), the independent witness (who observed without participating), and any authorised observer (such as a compliance officer with a monitoring role). Each category receives a tailored statement template.

What the Device Holder Attests

The holder confirms they performed the access described in the ceremony log, that the device serial number matches the inventory, and that they re-sealed or returned the device to its designated storage location. They do not repeat technical details — they reference the log by ceremony number.

What the Independent Witness Attests

The witness confirms they were present for the full ceremony (or notes the specific portion they observed), that the events proceeded in the order described in the log, and that no participant requested they leave the room during key-handling steps. The witness does not attest to the correctness of any transaction — only to the integrity of the process.

Language to Avoid

Do not include passphrase fragments, seed word hints, or transaction amounts in attestation forms. Do not use language implying investment performance or asset valuation. Statements should describe process, not outcome.

Timing

Attestations are signed at the conclusion of the ceremony, before participants disperse. If a participant must leave early, their statement covers only the portion they observed, with an explicit end time.

Storage

Original signed attestations belong in the witness packet. Copies may be distributed to participants, but the archival original should remain with the ceremony log in a single bound volume.
